Adding Tasks to a Checkpoint (web)

SOVA allows you to set schedules for assignable and non-assignable tasks, making it very easy to manage your team and ensure tasks are getting done when you need them to be.

Task Types in SOVA

As a reminder, an assignable task is one that is associated with a tour, and a non-assignable task is one that your security team might complete with some regularity, but is not directly linked to a tour. Here are some examples:

For the column at the left, which are all Assignable Tasks, let's assume you wanted your security officers to confirm that the restroom floors are found clean and dry each time they arrive at the checkpoint in a public restroom. By associating that task with the tour checkpoint, you are telling SOVA that you want your officers to check the condition of the floors each time the checkpoint is visited. Here is how we set that up:

Assigning a task to a tour checkpoint

You can assign tasks to tour checkpoints using SOVA Web or SOVA Mobile. If you prefer doing admin tasks from a mobile device instead, please read the article assigning tasks to checkpoints in SOVA Mobile.

From the navigation menu,
  1. Click "Tours" then select "Tour List". The tours that you have setup will appear in the main portion of the screen. If your screen is not showing any tours, please do a search in the Knowledge Base for how to setup your tours.
  2. Place your mouse over the action icon and select  "View Checkpoints" for one of the tours that includes the checkpoint that you want to add a task to. For our example below, we will select the "Test Tour":


Next, select a tour checkpoint from the list that you want to add a task to. Below we select the "office" tour button (checkpoint) and click "Edit:


The screen below allows you to edit the tour checkpoint. You can change the image, edit the location hint, assign the tour button to another tour, or assign tasks. In the screen below, you can see that the checkpoint already has two tasks added, you will note one of the tasks "AED battery checked and operational" has a clock icon. This means that the task is scheduled to only notify officers during a certain time of day, day of week, etc.


To add a schedule to a task assigned to a checkpoint, simply click the task name in the list. To remove a schedule, click the "X" icon. That's it!

Examples of tasks with schedules:

  • You have a delivery that happens weekly and you wish to verify that the loading dock is cleaned after the delivery. Set a task like "Loading dock is clean" and set a schedule for this task on the day of week that the delivery happens, at a time after the delivery occurs. For example, a task schedule of "Every Wednesday between 0600 and 0700 hours" would show a reminder notification to your users if they scan the Loading Dock checkpoint within the scheduled time.
  • Your biohazard pickup happens on the 1st day of the month, during first shift. Add a scheduled task to run on the 1st like "Bioharard area clean, waste product removed and extra supplies delivered" and set a start and stop time for the schedule to match the hours of your first shift.
  • Pool gates lock at 2300. During the day, a task is scheduled that reads "Pool gates secured, keyed entry by guests allowed", while after hours, the task changes to "Pool gates secured, guest access prohibited". Having these comments on your tour reports can provide powerful litigation support.
