Attendance Log

Attendance Log

The attendance log is a way to quickly record call offs, late arrivals, and no-call, no-shows. If your security department handles these types of calls, you may want to set this up in SOVA to take advantage of the unique features, like sending notifications to the manager in charge of a department so they know that one of their team members has called off.

Since the attendance log requires that you enter a department name for the person calling off, the first step is to setup your list of departments. Do that by navigating to Settings > Departments. Once there, click the button to "Add Department:"

Repeat the process to add all of your departments.

Next, navigate to the Communication screen at Settings > Communication to add your department managers who will be notified if a person calls off. This is an optional step that can be setup now or later. You may decide to add a single person to the list, so that manager receives notification of all call offs. It's entirely up to you how you go about setting this up. Below is what the communication screen looks like. There is another article in the Knowledge Base that describes what each dropdown item in the communication screen does, so if you're interested in learning about that, simply do a search for "Communications" in the Knowledge Base, or visit the Communications category

Now you are ready to add attendance logs. Navigate to the Logs menu, and choose "Attendance Logs" from the dropdown. Next click the "Add Attendance Log" button. In the popup, add details about the attendance log entry. Your screen will look similar to below:

You will see two buttons here - "Save and Notify" and "Save". Choosing "Save and Notify" will send an email to the manager listed in the Communication screen for the selected department. If you need to edit an existing attendance log entry, it's best to not choose "Save and Notify" more than once, unless details change and you wish to alert the manager of those changes.

The video below walks you through setting up the attendance log and adding entries to the log:
