Customizing a Shift Report

The shift report in SOVA is a snapshot of an entire shift, digested down to 1-2 pages. Consider it like an "Executive Summary", which is perfect for sending to busy exec's so they can stay updated on their security operation without having to wade through a 10 page DAR report, or a multitude of tour reports to get to the information they need. Many clients have asked if the shift report is customizable. What you may not realize that the questions in the shift report under Equipment, Tools and Supplies, Shift Duties and Elevator/Lift Out of Service or Failures can be modified to suit your specific operation. Here's now:

  • Navigate to Logs
  • In the dropdown, select "Shift Report"
  • At the top of the Shift Report screen, click the green button "Add Shift Report"
  • A blank Shift Report form opens. Skip these empty fields and instead scroll down and click the "Edit" button to the right of Equipment, Tools and Supplies.
  • Your screen should look like below:


How to Edit Shift Report Questions:

  • You can type directly into each row in the popup above to edit the default text
  • Delete a question by clicking the red minus "-" icon
  • Add a new question by clicking the plus "+" icon
  • When you are finished, click Save.
  • Repeat the same process for the other sections of the shift report, like Shift Duties and Elevator/Lift Out of Service or Failures as needed.
  • The next time you create a shift report, you will see the new questions

Be sure to phrase each question in a positive direction. For example:

  • "The manager on duty was briefed about any security issues from the prior shift" is correct, but
  • "No contact was made with the manager on duty regarding any security issues that occurred during the prior shift" is incorrect!

The reason this is important is due to how the logic is built into the shift report. If you respond "no" to any question while completing a shift report, after saving the report and returning to the shift report listview, you will see a red "N" under the ETS, SD or EFS columns. With this understanding then, a manager is able to quickly scan a list of 10-20 shift reports and without opening each one, can determine if there were any issues that require further investigation by looking for the red "N" in the shift report listview.
