Lost and Found Listview

The lost and found listview, accessible by navigating to Lost and Found > List Lost/Found, is where you can manage your entire lost and found operation. Read on as we highlight some of the important features of this screen:


  1. You can minimize the navigation bar from any screen in SOVA by clicking the "Hamburger" icon (that's really what's it's called!) which is found just to the left of the magnifying glass icon in the header
  2. Our A-Z quick search - use this to quickly filter your list by the value selected in "Search By" . The default setting for Search By is "Description"
  3. Clicking the "Scan Bag Tag" button allows you to scan the barcode of a bag tag label that you have affixed to a stored item to activate the scanned record
  4. Clicking the Add Lost/Found button is another way to add a lost and found record. Alternatively, you can navigate to Lost and Found > Add Lost/Found.
  5. Using this search tool you can filter by the various statuses below that are set for lost and found items:
    • Lost - a record added to the database to indicate an item that has been reported lost
    • Found - a fellow employee or customer of your business found an item and turned it in. You are in possession of this item
    • Claimed - the lost item has been returned to it's rightful owner, either by them picking the item up or by you mailing the item to the owner
    • Disposed - the item was either given to the finder, after having not been claimed, was donated to charity, or was discarded
    • Pending - a found item, where shipping has been paid by the owner and the item is in pending status until the item can be boxed and mailed back to the owner
    • Guest - a lost item that was reported by a guest or customer of your business, using the public webpage of SOVA. They would enter the unique ID for your business, then enter the details of their lost item. It is important to check this status on a regular basis to make contact with your customer to let them know you received their inquiry and are working hard to locate their lost item
  6. A count of items that are "Ready to ship" are lost and found items where your customer has requested to have the item(s) mailed back to them. In SOVA, you would send an email to the customer, and they would be able to pay for shipping using a credit card. After, the item would be added to the "Ready to ship" count
  7. A count of items where the checkbox indicates that the item needs a followup
  8. A followup item, with a highlighted background so it stands out
  9. Pending items is shown with a currency icon to allow quick identification, as these items are time sensitive to get the shipping label printed, boxed, and mailed. Please review the article on shipping lost and found items in SOVA.
  10. The action icon opens a menu with these options:
    • Edit item - opens the record to allow editing
    • View bag tag - allows viewing and printing the bar coded bag tag, which is usually applied to a plastic bag containing the lost and found item(s), wrapped and closed, with the bag tag applied over the wrapped bag and stapled, thus preventing tampering. Tip: for a higher degree of security, especially for high value items, you might consider using "evidence bags" which are used by law enforcement and are virtually tamper-proof.
    • View image - a quick way to view the lost and found image without having to open the record
    • Revisions (x) - a count of how many times the lost and found record 
    • Sub Items (x) - a count of sub items that are added to a "master" lost and found record. You are able to "group" many items under a single lost and found record, for example you have business associates sharing a hotel suite, and there are several items left in the room after their departure. You could add each item as a single lost and found entry, then group those under a master, so you would know that all of the items came from the same guestroom, but may in fact be shipped to different individuals
    • Email Recipient - Sends the recipient a request to pay for shipping, to have the item sent to them by courier service
    • Shipping Label - Only available for pending items - allows printing the prepaid shipping label from the selected shipping carrier
