Add Recipients to a Communication List

The Communication screen is where you can setup lists of recipients that have opted in to receive notifications about SOVA for your specific location. There are currently 22 different ways that SOVA can communicate via email, SMS and automated voice call with your fellow employees, managers, or Corporate officers. This article assumes that you have a basic understanding of what the Communication screen does. If not, click the link here to learn more. 

1. Find the gear icon at the top of any SOVA screen to the left of your image. Click that, and choose Communication . Your screen looks like below: 



2. Click the add new record button 
3. In the row that appears at the bottom of the list, check the active box if you wish the notification to be sent to a recipient. This is also a good way to temporarily stop notifications to be sent to a recipient, for example if they go away on vacation and don't want to be bothered
4. Add the recipients contact details including a valid email and/or phone number, depending on how they want to be contacted 
5. When you are finished, click the 'Save Changes' button 
6. When the popup window opens, click the "Send Verification" button
7. Your recipients will receive an email and/or SMS asking them to verify their communication details
8. In the screen below, notice that some of the icons are yellow. This indicates that the email has not yet been verified for this recipient. To resend the verification email, simply double-click the yellow email icon. Once the communication method is verified by your recipient, the yellow email and/or phone icon(s) change to green, indicating that the recipient is now verified for email, SMS, or both:



To delete a recipient, hover over the action icon and select delete from the popup menu. If you need to temporarily stop communications, it's best to uncheck the "Active" box to the left of the row, then it can be re-checked later if needed.

Users added to the main list must validate their communication methods before you can subscribe them to any of the lists. Once you see green circles for email and/or SMS, it's time to select which lists to subscribe the user to. Hover over the action icon and select 'Subscribed Lists'. Your screen looks like below:



Here we can see that user Sandeep is subscribed to be notified if their AED battery and/or pads are expired, and three types of critical IR types they are subscribed to, namely burglery of a guest room, code 1 (fire) and guest illness. You will notice that the SMS checkboxes are disabled. This is because this user has not validated their mobile number. If they wish to receive SMS communications for any of the events listed, they will need to first confirm the number you've added for them in the communication record.

When subscriptions are changed for a user, they receive an email informing them of the change, assuming you've added a validated email for them already.
