Adding Tasks to a Checkpoint (mobile)

When setting up security tours in SOVA you can assign tasks to your tour checkpoints so when they are scanned, your officers would see a popup notification and they would be required to confirm that they completed certain key tasks that you define while they are present at that physical location. These tasks can be scheduled, so they only appear at a certain time of day, day of week, or day of month. A similar process of adding tasks to tour checkpoints can be completed via SOVA Web. If you prefer adding tasks via the web console, please read the article on adding tasks to tours via the web.

Here are some example tasks that can be added to tour checkpoints via the web or mobile:

  • Each time the AED is scanned, require officers to verify that the device is operational
  • Monthly, when the AED is scanned, ask officers to check the expiration date of the battery and pads, and check for physical damage
  • After the pool is closed at 2300 hours, confirm that the access gates when scanned are secured and do not permit guest or resident access to the pool
  • While the pool is open between 0700 - 2300, scanning the access gates would provide a notification to your security officers to ensure the pool gates provide access via key only

This tutorial assumes you need to add tasks in addition to assigning those tasks to a tour checkpoint. You may have already added tasks using SOVA Mobile or SOVA Web. If that's the case, you can skip forward or read from the beginning for additional clarity.

Adding Tour Tasks in SOVA Mobile:

  • Open the Admin Dashboard and tap Add / Edit Tasks


  • Tap the plus button to begin adding a new task:


  • Give the task a name, select Tour Task, and choose "Critical" = NO, and "Comments Required" = NO:


  • When finished, tap the save icon at the top. We added a new task called "Doors are secured" as you can see below:


  • That task now appears in the task list that we started with. The green checkmark indicates that the task is a "Tour Task", meaning it is assignable to a checkpoint, but is not a task that can be selected. An example of a non-assignable task from the list below is "Area Check - Pool". That is a task that can be started outside of a tour:


  • Return to the Admin Dashboard and tap "Add / Edit Tours":


  • Select a tour by tapping it:


  • Select an existing checkpoint to edit by tapping it, then tap the "Edit" button at the bottom of the screen:


  • The task that we added previously is now listed in the task list. Tap to select it, then tap the save icon at the top right in the screen below:


  • After saving the app moves us back to the edit button list, where we see the task is now added. The number 1 below tells us that there is now one task added to the "Ped Shoes" checkpoint. You can add several tasks to the same checkpoint using the same steps:


  • Let's add a schedule to this task, so that it only fires if scanned during the 3rd shift. Returning to the edit button screen, we long press the task "Doors are secured" (hold our finger on screen for 2 seconds) until the Task Schedule popup shown below appears. The only option shown is "Add" since we do not currently have a schedule added to this task. Go ahead and tap "Add":


  • Choose a daily schedule during 3rd shift. Note: if you haven't set your shift timings yet, you might take a detour and click the blue text link in the screen below "View / Edit shift times" and set the start and end times for your shifts.
  • When you are satisfied with your selection, the text below confirms your schedule settings
  • Tap the save icon at the top right in the screen below:


  • After setting the schedule, the app returns us to the edit button screen below. You can see that we have one schedule added now:


  • To edit or delete a schedule, long press the task with the schedule and the Task Schedule popup will show options to Edit or Delete the schedule. See below:


  • Returning back to the button listview screen after saving all schedule edits, we now see below that the "Ped Shoes" checkpoint now has (1) task and (1) schedule added:


TIP: Go through these steps and practice a couple times. Adding tasks to property tour checkpoints is one of the most powerful features of SOVA, allowing you to run your department on auto-pilot while ensuring all time sensitive security tasks are being done, on time and with documentation.
