I cannot attach images from our CCTV system to an incident report

Likely the image you are trying to attach to the incident report is encrypted in some way. You will discover that the image file opens fine using the image viewer available in Microsoft Office and also MS Paint, but fails when you attempt to open it using an image processing program like Photoshop.

Here is a solution when uploading images to SOVA from your CCTV camera system:

OPTION ONE:
  1. Double click the raw image from your camera feed to open it in your default Windows image viewer. This is probably Microsoft Office or Paint. NOTE: Windows Photo Viewer does not have the capabilities to change image formats, so if your PC opens the image in that app, you will need to use one of the other apps above
    • If using MS Office, choose File > Export, then look at the right side of the screen. Find the dropdown "Export with this file format" and change the file format to PNG. This will not alter the image in any way, it just changes it to the PNG file format
    • If using MS Paint, choose File > Save As, and in the menu, select PNG
  2. Choose to save the file under a different name to preserve the original. Place the new image on your desktop or share drive
  3. Upload the PNG image to the incident report in SOVA

OPTION TWO:

  1. Paste the raw camera image inside a WORD document and export the document as a PDF
  2. Upload the PDF to the IR
The disadvantage with option two is that the images would not appear in the IR pdf if you wanted to print a hard copy or forward a copy of the IR pdf to your management team or insurance company.
