Adding Lost and Found Items

After you have completed the setup of your lost and found system in SOVA, you are ready to begin adding found items to your lost and found inventory. If you have not completed the setup, please search the Knowledge Base for "Lost and Found Setup" and follow those directions.

  1. Navigate to Lost and Found > Add Lost/Found. You can also add lost and found items from Lost and Found > List Lost/Found , by clicking the green button at the top right.
  2. Select an item category using the "Item Category" dropdown. If you need to add any categories, please review the lost and found setup article. If you select Cash, Cell Phone, Drivers License ID, Jewelry or Passport, the "Storage Location" is automatically selected for you as "Secure Storage". This is because SOVA assumes that high value items will be stored in a separate, secure location
  3. Select the estimated value of the item using the dropdown
  4. Select the "Storage Location"from the dropdown if necessary
  5. Check the "Followup Required" box to allow filtering your list of stored items to show those that require followup only. This can be useful to flag items where the party that lost the item for example is requesting a phone call
  6. Add a description of the item
  7. Add any internal notes. These notes do not appear in reports that you may choose to generate
  8. Expand the "Image" drawer by clicking the plus icon, and using an attached webcam, capture an image of the found item that you are adding to your lost and found inventory
  9. Expand the "Found By" drawer by clicking the plus icon, and enter the date found, name of person who found the item, select whether the finder was an employee or a customer/guest, and any other detailsAdd details

Your screen should look like this:


Save the record and navigate to Lost and Found > List Lost/Found. You will see the item you added.


TIP: when adding lost and found items, try clicking the "Scan UPC" button and using a barcode scanner, scan a barcode for a book, magazine, boxed food item or toy, and SOVA will attempt to find the item and pull details into the lost and found record for the item scanned. This can sometimes auto-populate the description and image of the item, saving you time.
