Shift Report Listview

The shift report is a convenient way to compile data from an entire shift, or even a full day, into a 1-2 page report that you can send to your managers directly from within the SOVA application. The screen below shows the shift report listview for one of our clients, and you can see that this client creates 3 shift reports each day, or 1 per shift:


  1. This dropdown allows you to select from various quick reports" that can be created in the Logs menu of SOVA: The different types of Log reports you can create here include:
    • Attendance Log - If your security department records call offs for your company this is a good way to record all of the call offs and route these call off reports directly to your department managers in an email
    • Overdue Key Report - If during a key audit you find that some keys are not returned, you can create a report, which gets automatically sent to persons you include on a distribution list. Learn more about the various Communication Lists you can create in SOVA
    • Emergency Call Log - If someone activates a pull station at your business, or a guest is caught smoking in your hotel guestroom, here is where you would go to write a brief account of what happened. If there is an actual fire, you would probably write an incident report instead.
    • AED maintenance and inspection - While not a replacement for your required "Medical Oversight" required by many US States, this  is a quick way to complete regular inspections of your Automated External Defibrillators
    • Shift Report - A quick way to bring all activities occurring during a shift into a 1-2 page summary, which is usually made available to upper management. The article you are now reading discusses the shift report, other Log reports can be found by clicking the links here.
    • Key Requisition - A system to record key requests by individuals, and track authorizations by the various persons who are required to sign off on keys, as part of your overall key policy.
  2. The "Add Shift Report" loads a screen where you can add a new shift report
  3. Advanced search feature. The search options available in the dropdown depend on the Log report that you select in step 1. In the case of a shift report, the dropdown allows searching by these criteria:
    1. Supervisor
    2. Shift number
    3. Whether training was conducted
    4. Whether an Incident Report (IR) was written during the shift
    5. Group name
    6. Date range
  4. Creates a PDF report of the list that is visible on screen. If filters are applied in step 3, then this is what will print
  5. The supervisor that worked on the shift
  6. A count of Incident Reports (IR's) that were written during the shift
  7. A series of questions related to "Equipment, Tools and Supplies" are created by you in the shift report, and these questions can be unique to your operation for the ETS section, as well as the SD and EFS sections discussed below. If the person completing the report indicates that there were issues in any of the "ETS" areas, then this column shows a red, capital letter "N".
  8. A series of questions related to "Shift Duties" are answered in the shift report. If the person completing the report indicates that there were issues in any of the "SD" areas, then this column shows a red, capital letter "N".
  9. A series of questions related to "Elevator lifts, out of service or failures, Fire panel status and Security failures" make up the "EFS" column. Any issues in any of the "ETS" areas puts a red, capital letter "N" in this column.
  10. Clicking the action icon brings up a menu allowing you to:
    • Edit the report
    • Delete the report
    • Send the report to a list of recipients. You add recipients from the Communication screen, "Send SR" tab. Not sure how to do that? Read the article about the Communication screen.

We hope that you make good use of the shift report. It was designed around the needs of upper level management, who may not have the time or inclination to review the very detailed daily activity reports and tour reports that come out of a security department on a daily basis. By allowing SOVA to digest all of the data collected by the entire security team into a 1-2 page executive summary, top level managers can quickly scan this document to get to the information that matters most.
