Overdue Key Report

The overdue key report in SOVA allows you to record when keys are not turned in at their allotted times. Having a high value key lost and unaccounted for can negatively impact any business, where large segments of your physical security plan can immediately become compromised. Remediation efforts, if undertaken quickly, can certainly limit the potential for loss, but even so, the costs can be significant and the operation disrupted if lock cylinders ultimately need to be changed out or an entire building re-keyed to cancel out the lost key.

SOVA addresses these challenges in two important ways. First, we have built a secure solution to key control for customers subscribing to our Equipment Management module. This optional module in SOVA limits access to key and non-key assets based on the security level of the asset and the security level of the user. Next, for all customers of SOVA, we offer the ability to create overdue key reports with little effort, and once submitted to our platform those overdue key reports can generate automatic emails to department managers, letting them know in an instant if a key is discovered missing. This article discusses how to create an overdue key report in SOVA. You must first setup Departments for your business, then add managers to the Communication screen to receive the alerts automatically when an overdue key report is generated. Read this article about adding recipients to the Communication screen if you are unsure how to do that. Basic instructions are also included below.

Prerequisites to using the Overdue Key Report Log:

  1. Setup your company departments first by navigating to Settings > List Departments , then clicking the blue " Add Department " button at the top right
  2. Add recipients to the communication screen by navigating to Settings > Communication , then clicking the " Overdue Key " tab. Names listed here must verify their communication methods (Email and/or SMS) by verifying an email sent to the email listed, and a text message sent to their mobile device, before they would receive an alert about an overdue key.

Creating a new Overdue Key Report:

  1. Navigate to Logs.
  2. In the dropdown menu, select " Overdue Key Report "
  3. Click the green button at the top right labeled " Add Overdue Key Report "
  4. Complete the form
  5. When saving the form, the department manager that you added in the Communication screen " Overdue Key " tab will automatically receive an email alert about the overdue key, and which of their employees had the key checked out to them most recently.
TIP: You can add multiple names with the same department in the "Overdue Key" tab of the communication screen. All names listed with confirmed communication methods would receive emails and/or text messages.
