Adding RFID Buttons to Routine Tasks

Adding checkpoints to identify tasks throughout your facility works in a similar way to scanning a tour checkpoint, but deploying and scanning task buttons is a relatively new feature of the SOVA system.There are significant advantages of installing and scanning RFID checkpoints for regular security tasks, when compared to the old way of recording Non-Tour Tasks. At a cost of around $300 to deploy this upgrade throughout your facility, the labor savings alone is justification to upgrade to this type of system for many of your routine tasks. This feature requires SOVA Mobile version 2.19-27 or above. You can find your version by selecting "About" from the user context menu.

What tasks are good candidates for this upgrade? Any physical location where your officers perform a routine task as part of their shift. Here are some examples:
  • Routine checks of fire extinguishers or other life safety equipment throughout your facility
  • Doors that are unlocked and locked during the day
  • Crib, refrigerator and microwave inspections at a hotel
  • Documenting cleaning activities during the Covid-19 pandemic

Below is a comparison of the old way of manually recording non-tour tasks vs. the newer, RFID task scanning method.

Adding RFID Buttons to Identify Non-Tour Tasks:

  • From the mobile device, open the admin dashboard and tap Add / Edit Tasks:


  • Add a task, like "Fire Extinguisher Check"
  • Open that task and click the plus icon "+" shown below to add a task button:


  • The scan screen opens below


  • Place an RFID button at the task location, and scan it with your mobile device
  • The screen below opens.
  • Give the task a name. For our example, we are setting up a fire extinguisher checkpoint at the Loading Dock, so we name the checkpoint "Loading Dock FE"
  • Add a location hint for the task. You can also capture an image if you want, although this is not required
  • After you are finished, click the save icon at the top right, then save again.


  • After entering the button name and clicking save, you will return to the screen below. Scrolling down in the list we see an icon that looks like a price tag and a number "1" next to the "Fire Extinguisher Check" task. This tells us that there is one new checkpoint added for that task. In summary, we setup a generic task name, and then add several locations to this task. Currently we have added one task button, named "Loading Dock FE". Make sense? If not, you may want to go back and read through this article again.


  • Tap the task to open the edit screen below. You will now see the newly added task button in the bottom portion of the screen. From this screen you can continue adding additional task buttons for this task by tapping the plus icon, and after those task buttons will appear below the Loading Dock FE below.


  • Be sure to sync your changes. The "Sync to Web" tile in the admin dashboard will tell you if there are changes that require syncing. If you see the message in the Sync to Web tile "Local data changed", then you have made some changes to your device that require sync. See below:


  • Simply tap the "Sync to Web tile above and wait a minute. All changes will sync and the "local data changed" message should disappear. If the message remains, this means that the device did not sync fully. If this happens, simply tap the tile again. If this continues, and you cannot get the message to go away, please open a ticket and we will help you.

Using RFID task scanning:

  • Once you get all tasks added and task buttons added to those tasks using the instructions above, now you are ready to begin using this feature
  • Login to any user account
  • If logging in with a device that is different than the device used to setup the new RFID task checkpoints, click the user menu and choose "Check Updates". See screen below:


  • Allow the device to sync. Afterwards, approach and scan an NTT checkpoint. NTT checkpoints can be scanned while conducting a tour, and also can be scanned from the main user screen outside of a tour.
  • After scanning, the screen below will appear. Notice the task name is showing the generic name we setup in SOVA Mobile called "Fire extinguisher check", and the location is filled automatically as "Loading Dock FE". Users have the option to manually add a comment or select from one of 4 buttons which perform these functions:
  • Start - Starts the Non-Tour Task (NTT) the same as the old way of starting a NTT. This would be manually completed from the unfinished NTT screen the same as before.
  • Item Checked - Add a canned response "Item Checked" to the Daily Activity Report (DAR) and marks the task complete.
  • Door Locked - Add a canned response "Door Locked" to the Daily Activity Report (DAR) and marks the task complete.
  • Door Unlocked - Add a canned response "Door Unlocked" to the Daily Activity Report (DAR) and marks the task complete.


Example Uses:

  • Setup a generic task like "Door Service" then add RFID buttons at all meeting room doors that are manually locked and unlocked during the day by security officers. When an officer performs this activity, they would scan the button, and choose either "Door Locked" or "Door Unlocked" and they're done. The task would appear in the DAR like "Door Service - Meeting Room A" where location would populate to the DAR automatically (and with consistent spelling), and the comment would read "Door Locked" or "Door Unlocked" depending on what button they click after scanning the NTT button.
  • Add RFID buttons at gates leading to the main gas shutoff valve for the property, access door to the generator, waste dumpsters, FCC, etc. Officers would scan these checkpoints and click the "Item Checked" button.

Gelocating Task Buttons:

Don't forget to geolocate your task buttons so you can improve the accuracy of your dispatch map. This process is the same as Geolocating tour checkpoint buttons.

  • Navigate to Tours > Geolocate.
  • Your screen should look similar to below.


  1. Click to change the tab from Tours to Non-Tour Tasks
  2. Select a task for which you have previously setup task buttons. This should be a generic task. In the example above, we have setup a task named "Meeting Room Doors". Each meeting room door at the facility has a task button installed. Security locks and unlocks these doors frequently.
  3. After selecting "Meeting Room Doors", the task buttons load in the bottom list. We select a task checkpoint, and the map updates to show the position of that task checkpoint. Don't worry if it's not accurate.
  4. Click to drag the map pin to the actual location of the checkpoint, and release. Repeat for each task checkpoint.

SUMMARY: By adding checkpoints to identify many of your tasks, you would establish several general tasks like "Fire Extinguisher Check" or "Door Service" to use a couple examples. You then add RFID buttons to these generic tasks and give those buttons a location-specific name like "Loading Dock FE", "Valet Parking FE", or "Guest Hallway 7th Floor FE". For a generic "Door Service" task, you might have location specific RFID button names like "Meeting Room A", Meeting Room B," etc. Scan those at any point during the day to record an activity to the DAR, with your officer only having to tap once on screen to record and complete the task. A significant advantage of adding RFID tasks to SOVA is that the officers precise location is now saved to the map, providing improved monitoring of your work force and faster response times to the officer in the event they come under duress.
