Scheduling Tasks (mobile)

Your security officers have many tasks that they are required to do at specific times of the day. Many of these tasks repeat daily with the same schedule. By using the task scheduler built into SOVA, you can provide popup reminders to your security officers when these tasks are coming due.

Tasks can be scheduled from the mobile device or from the web. If you prefer working on admin tasks from a web console, please read scheduling tasks from the web. Both have the same net result, so it's simply a matter of preference regarding which interface you prefer in setting up your scheduled tasks.

This tutorial will take you through the process of adding tasks via the mobile device, then setting a schedule for those tasks. You may already have tasks added to SOVA so if this is the case, you can skip forward over that part or read along to increase your overall understanding.

Scheduling Tasks in SOVA Mobile:

  • Open the Admin Dashboard and tap "Add / Edit Tasks":


  • Tap the plus icon to add a new task. Alternatively, you can select a task from the list:


  • The screen below opens


  • Add a name for your task in the screen above, and for "Task Type", choose Non-Tour Task. Tap to set both toggles to NO for Critical and Comments Required.
  • Click the save icon
  • After the new task is saved, SOVA takes you back to the edit task screen. We added a task "Secure Loading Dock". You can see that in the task list below:


  • Next, let's add a schedule to this task. Tap the task to select it. The Edit Task screen opens for this task. Tap the plus icon shown below to add a task schedule:


  • In the screen that opens, we will set a Daily schedule at 2300 hours. Leave "Daily" select for the recurring interval, and tap the blank box for "Scheduled Time":


  • Set a Daily schedule for 2300 using the clock. You will note that tapping the hours (shown as 11) will allow adjusting the hours using the clock face. Tapping minutes (shown as 00) allows setting the minutes. Minutes is currently active in the screenshot below, that's why the digits are blue:


  • When you are finished, click Done. Your screen should look like below:


  • After clicking the save icon at the top right in the screen above, SOVA brings you back to the edit task screen. Your screen should look like below, where you can see a task schedule added for "Everyday at 2300 hours":


  • You can add additional schedules to this task by tapping the plus icon for task schedules and repeating the steps above.
  • When finished, return to the Admin Dashboard and you will see a message "local data changed" on the Sync to Web tile. Tap that to send your changes to the server:


  • In order for your mobile devices to update with the new information, it is necessary to sync each mobile device so the new information can be downloaded to the devices. Do that by accessing the admin dashboard in each device, which forces a sync, or from a logged in user screen, click the three vertical dots at the top right of the main user screen to open the user context menu. Scroll down and choose "Check Updates". That option is shown in the screen below:


  • Daily task reminders will be shown to your users 30 minutes prior to the expiration of the task. The popup notification looks like below. Notice the device time is showing 2234 hours and the task "Secure Loading Dock" is set for 2300 hours. The screen to the right shows several daily tasks, one that is already expired (red), three that are coming due in 4 minutes (yellow), one that is not due for over an hour (gray) and one that has been completed already (green). If a task has been started, it's status would show "Assigned" and would have a blue background. That status is the only one in SOVA that is not shown in the examples below:


  • This notification popup shown above appears even if SOVA is not open in the forefront to ensure your officers receive this notification. If the device is silenced, a slight vibration will catch their attention. Tasks can be started by tapping the "Start" button above. Here is the work flow for task reminder popups:
  • Task notification appears as in the screenshot above 30 minutes prior to the time the task is due
  • If the officer suppresses the message, it again pops up in 15 minutes, and the background of the task is now shown in a yellow color, indicating that the task is nearing the expiration time
  • If the task is not completed by one of your active officers after another 15 minutes, the task appears again in a popup, and this time the background is red, indicating that the task is past due

TIP: At midnight, SOVA compiles a list of all scheduled tasks that were not completed for the prior day. You can setup a list of recipients to receive this communication by adding recipients to the Communication screen, "Expired Daily Task" tab.
